Who can do it

The Treasurer and the Tenant Admin set up the dues and record payments, in Manage › Dues. The music director doesn't see dues unless the Tenant Admin gives them that access. Dues are personal information, so Tounes asks you to Confirm it's you before Manage opens (see Treasurer).

Every member sees their own dues in My dues, in the menu at the top of Home. Members can't record or change a payment.

Dues only show when your choir has the dues feature switched on.

How to

Set up the season

  1. In Manage › Dues, tap New season: its start date, end date and currency. Two seasons can't overlap.
  2. Add a period for each thing members pay for, such as a fall session or a yearly membership, with its dates. Tick Paying it gives voting rights if it does.
  3. In the period, Add a rate: its amount and, if members pay in parts, its instalments, each with a due date. The instalments must add up to the amount. With none, the rate is due in one go on the period's first day. The first rate is the default.
  4. Every active member is put on the default rate. If some are missing, tap Assign active members.
  5. Choose When a member leaves: keep the full amount, prorate by days, or drop the instalments not yet due.

Record a payment

  1. Open the season and tap the member.
  2. Tap Record payment and fill in the amount, the date it was paid (never in the future), the method (e-transfer, cash, cheque or other) and a reference.
  3. Made a mistake? Edit payment, or Void payment: a voided payment stays in the history but no longer counts toward the balance.

Follow up

  1. Filter the list to Unpaid, Overdue or Paid members to see who to remind.
  2. Open a member and tap Edit assignment to give them their own amount, their own choice for leaving, or a private note that only the treasurer sees.
  3. A member whose data was removed at their request shows as "Name (former member)", then as Former member 6 years after the season ends. Their amounts and payments stay.

See your own dues (every member)

  1. Open My dues: for each period, what you owe, what you paid, what is left, and each due date with where it stands.
  2. A payment is missing? Ask your treasurer: payments are recorded by hand. Tounes doesn't take payments online.

In the app

The choir's dues by season. Each season holds periods, such as a fall session or a yearly membership, each with its rates and due dates. Every active member is assigned on the default rate.

One season: its periods, rates and instalments, and what each member owes. Tap a member to see their schedule and payments, record, edit or void a payment, or edit their assignment (own amount, own leave choice, private note). The filters narrow the list to unpaid, overdue or paid members.

Your dues for the season, period by period: what you owe, what you paid, what is left, and each due date with where it stands. Payments are recorded by your choir's treasurer; if one is missing, ask them.
