Take attendance

A member's reply says whether they plan to come. Attendance records who actually came. Tounes keeps both side by side: marking someone never changes the reply they gave.
Who can do it
A Section Leader marks the members of their own section, on every event their section is invited to, whole-choir rehearsals included, whoever created the event. The section's leader gets the role when the director names them in Manage › Sections; the director can give it to more people (see Section Leader).
The Director and the Tenant Admin mark everyone. Your choir may also have its own roles, under other names, that allow the same.
Taking attendance needs no feature. Reading each member's history afterwards does: see Attendance history.
How to
Mark your section
- When a rehearsal starts, section leaders get a Take attendance notification, in their own language. Tap it to open the event. Or open the event from Calendar.
- Scroll to the Attendance sheet. It opens by itself while the event is under way; at other times, tap the arrow beside its title.
- The sheet lists the members of your section the event expects, by last name. Under each name, the reply they gave: Attending, Not attending, Maybe or Unknown.
- Tap the mark beside a name (Not marked at first) and pick Present, Late, Absent or Excused.
- For Absent or Excused, pick the Reason: illness, work, family, travel, schedule conflict or other. Someone who replied they couldn't come is suggested as Excused, with the reason they gave.
- On an event that counts guests, use − and + beside a present member for the guests they brought.
Each mark is saved the moment you make it. Made a mistake? Tap the mark again and pick another, or Not marked to clear it. You can come back to the sheet after the rehearsal.
Directors: mark anyone
- Open the event from Calendar and use the Attendance sheet, which lists everyone the event expects. Or open it in Manage › Events and expand Attendance: it shows how many replied attending, section by section.
- Mark people the same way.
- To read the totals per member, open Manage › Attendance.
Who is on the sheet
- Active members of the event's audience. Staff, members on leave and prospective members are not expected, so they are not listed.
- On a past event, anyone already marked stays on the sheet, even if they have left the choir since.
On the web and in the apps
The Take attendance notification pops up on your phone only in the Tounes app, once you have allowed notifications. On the web, it waits in Notifications, and you open the event from Calendar. The sheet itself works the same everywhere.
In the app
One event: when and where it happens, and its playlist. Answer the attendance question here so the directors know who is coming.
Each member's attendance for a season, or for dates you pick, counted from the presence section leads and directors record. Excused absences are shown but do not lower the rate. Staff are not listed.
