Prepare a rehearsal or concert

A rehearsal or a concert in Tounes is an event with a playlist. The playlist is what members practise before the day; the event is where they reply and where attendance is taken.

Who can do it

The Director and the Tenant Admin create events and playlists and link them. Both roles can see members' personal information, so Tounes asks you to Confirm it's you before Manage opens. A Librarian can add the songs, tracks and scores, but not build playlists or events. Your choir may also have its own roles, under other names, that allow the same.

How to

Get the music and the event ready

  1. Add the songs, with each voice part's tracks and the scores, in Manage › Songs (see Manage songs and playlists).
  2. Create the event in Manage › Events (see Plan events and venues).

Give the event its playlist

  1. Open the event in Manage › Events. Under Playlist, tap Add playlist and name the playlist members will practise, or pick one under Or link one that exists. A playlist belongs to one event at a time.
  2. Tap Edit songs to add the songs and put them in order.
  3. Its songs become the members' homework: they show under Homework in the Music tab and on their Home, and as the programme on the event's page. A playlist kept for a group is homework for that group's members only (see Manage songs and playlists).
  4. In Manage › Playlists, open the playlist and tap Edit songs to add a practice note to a song (In full, By heart, up to a letter, up to a bar, or your own words) or to Set the speed members start it at. They can still change the speed.
  5. Change of plan? Unlink the playlist from the event: it stays in Playlists, but members no longer see it as homework.

Logistics

  1. On the event, add the tasks volunteers can take (see Tasks and volunteers), and switch on ride sharing or rooms if needed (see Share a ride and Rooms for the tour). Each shows only when your choir has it switched on.
  2. Use More › Open a chat for attendees for a conversation with the people coming.

Follow the replies

  1. On the event in Manage › Events, Attendance shows how many replied attending, section by section. Expand it to see each person.
  2. For a rehearsal, members who haven't replied, or said Maybe, get a reminder some hours before. The default is in Manage › Settings › Rehearsal reminder; an event can set its own under Registration.

On the day, and after

  1. When a rehearsal starts, section leaders get a notification to take attendance (see Take attendance).
  2. Once a rehearsal is over, its playlist leaves the members' lists in Music. It stays on the event, and in Manage › Playlists.

On the web and in the apps

Reminders and the take-attendance notification pop up on phones only in the Tounes app; on the web they wait in Notifications. In the iPhone and Android apps, members can also open every score of the event's playlist as one document in Singing Mode during the rehearsal or concert (see Singing Mode). There is no Singing Mode on the web.

In the app

One event: edit its date, place and details, attach a playlist, and take attendance.

One playlist: add songs, put them in order, link it to an event or make it permanent, and pick a group to show it only to that group's members.
